Your team is using AI, even if you never rolled it out. That’s not a hot take, it’s the default now and it creates a quiet problem for entrepreneurs and small business owners: you can’t manage what you can’t see. Jason Wright and Georgia unpack “Shadow AI,” the behind the scenes use of tools like ChatGPT, Claude, browser extensions, and AI meeting note takers that people adopt on their own to move faster.

We get specific about why this matters for data security and client trust. When someone pastes customer details, pricing, or internal notes into a free or unapproved tool, that information can end up stored somewhere you can’t audit, control, or retrieve. Nobody is trying to leak data, they’re trying to do good work quickly, which is exactly why a simple ban usually fails. If you block AI at work, people often shift to personal phones and personal accounts, and visibility gets worse.

Our fix is practical, not preachy: bring it into the light. We share a three step playbook to ask what tools people are using without punishment, choose approved tools and standardize safe use, then anchor behavior with one rule everyone can remember: don’t paste anything you wouldn’t post publicly unless it’s an approved tool set up to protect the data. We also point you to a quick way to check whether your email and password may already be exposed online. If you found this useful, subscribe, share it with another owner, and leave a review so more teams can use AI safely.

If this sparked ideas for your brand or business, subscribe for more deep dives, share the show with a founder who needs focus, and leave a quick review to help others find it. The Uncomfortable AI Tools Question

SPEAKER_00

What's happening everyone? Jason Wright here. Georgia's joining me today as usual.

SPEAKER_01

Hey everyone.

SPEAKER_00

I want to start with a question that makes most owners a little uncomfortable. Do you actually know which AI tools your team is using right now?

SPEAKER_01

I'm guessing the answer for most people is no.

SPEAKER_00

The answer is almost always no. And here's the thing your team is using AI.

What Shadow AI Looks Like

SPEAKER_00

Today. Whether you set it up or not, there's even a name for it now, Shadow AI.

SPEAKER_01

Shadow AI. Like the stuff happening in the background that leadership can't see.

SPEAKER_00

Exactly. Your people are pasting things into Chat GPT, running browser extensions, using AI meeting note takers, asking Claude to clean up a proposal, all of it quietly on their own. And most owners have no clue which tools are what's being

The Hidden Data Leakage Risk

SPEAKER_00

shared.

SPEAKER_01

Why is that a problem though? If it's helping them work faster, isn't that a good thing?

SPEAKER_00

The productivity's great. It's the not knowing. Somebody on your team could be pasting customer details into a free tool that uses everything it sees to train its models. Now your client data is somewhere you can't see and can't get back. And nobody did anything malicious, they were just trying to save time. It's always well intentioned. Nobody's trying to leak data. They're trying to do their job

Why Banning AI Backfires

SPEAKER_00

faster. Which is exactly why banning it doesn't work. Tell people they can't use AI and they'll just use it on their phones where you really can't see it.

SPEAKER_01

So if banning it backfires, what do you actually

Three Steps To Bring AI Into Light

SPEAKER_01

do?

SPEAKER_00

You bring it into the light. Three steps. First, just ask. Have an honest conversation. What AI tools are you using to get your work done? No punishment, no drama, you'll be shocked what comes back.

SPEAKER_01

People will actually tell you.

SPEAKER_00

If you make it safe, yeah. The goal isn't to catch anybody, it's to see the real picture. Second step, once you know what's being used, pick the approved tools. Say, great, we're standardizing on these, and here's how we use them safely.

SPEAKER_01

And the third step?

SPEAKER_00

Tell them the one rule that matters most. Don't paste anything into a tool that you wouldn't post publicly unless it's an approved tool set up to protect the data. Simple, memorable. That one sentence prevents most of the damage.

SPEAKER_01

So you turn the shadow into something visible and managed.

SPEAKER_00

That's the whole move. The AI isn't going away, and you don't want it to. You just want it out in the open where you can guide it instead of hiding in the shadows where it can hurt you.

SPEAKER_01

That's a good place to land.
